Privacy policy

This policy describes how Maingen (we, us, or our) handles personal information when you visit maingen.ai, use Maingen Platform, or contact us. Questions and privacy requests can be sent to founders@maingen.ai.
Information we collect
- Account information. When you sign in with Google, we receive your Google account identifier, email address, name, and profile picture, if available. We also maintain your workspace membership and role. Google sign-in does not give us your Google password or access to your Gmail messages, Drive files, or calendar.
- Information you provide. This includes information submitted through contact forms, correspondence, and the content you enter into platform features, such as messages, documents, work orders, site records, and personnel information. The information collected depends on the features you use.
- Connected services. If you or your organization connects an external service, we receive the information and access credentials needed for that connection, within the permissions provided.
- Technical information. Our hosting and service providers process request and error logs, which can include IP addresses, browser and device information, timestamps, and pages requested. Cookies and browser storage keep you signed in and remember your workspace and interface preferences.
How we use information
We use this information to create accounts, authenticate users, provide workspace access, and run the features you request. We also use it to answer questions, arrange meetings, send service notices, investigate errors or misuse, and meet legal obligations. Google account information is used for sign-in, account identification, and access management.
AI features can send your messages and relevant context to an AI provider to generate a response. For example, the platform chat sends the conversation to Anthropic; some alert summaries use OpenAI. Avoid including personal information in a prompt unless it is needed for your task.
When information is shared
We use service providers to operate the service. These include Supabase for authentication and database services, Vercel for hosting, AI providers for the features described above, and Resend for email delivery. Providers receive information needed for the functions they perform.
Content in an organization workspace may be available to its administrators and other authorized members. Your organization controls who should have access to its workspace. If you ask us to connect a service or share information with a recipient, we process that information to carry out your request.
We may disclose information when required by law, to respond to lawful requests, or when necessary to protect people, secure the service, or establish or defend legal claims. If Maingen is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to applicable privacy requirements.
Generalized workflow insights
We may use generalized, deidentified insights from customer workflows to research, develop, and improve our products and services, including AI training and evaluation. These insights must not identify individuals or customers, reproduce source documents, or disclose confidential information.
This permission does not authorize the sale or licensing of your uploaded files or identifiable customer data. Google sign-in information is excluded from this use. Any separate written agreement with your organization takes precedence.
Google sign-in and other websites
Our use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements where applicable. Google sign-in information is not used for advertising or to train general-purpose AI models.
You can revoke Maingen's Google access through your Google account connections. Revoking access does not itself delete information already held in your Maingen account. Contact us to request deletion.
Google sign-in and Google appointment booking are also subject to Google's privacy policy. Other linked or connected services have their own policies. Your browser may send information directly to those services when you load their embedded content or follow their links.
Storage, security, and retention
Information is stored in the systems we and our providers use to deliver the service. It may be processed in the United States and other countries where those providers operate. Privacy laws in those countries may differ from those in your country.
We use access controls and other safeguards intended to protect information. No storage or transmission method can guarantee complete security. Please contact us if you believe your account or information has been compromised.
We retain information for as long as needed to provide the service and for legitimate operational or legal purposes, including security, resolving disputes, and keeping required records. Retention depends on the type of information and the reason it was collected. After deletion, copies may remain in backups until those backups are replaced or expire.
Your choices and requests
To request access, correction, export, or deletion of your personal information, email founders@maingen.ai. Depending on where you live, you may also have rights to object to or restrict processing, withdraw consent, or complain to a privacy regulator. We may need to verify your identity before fulfilling a request.
Where we process information on behalf of your organization, we follow its instructions and our agreement with it. We may refer a request about that information to your workspace administrator. Blocking cookies in your browser may prevent sign-in or other features from working. You can ask us to stop promotional emails while still receiving account or service notices.
Children and policy updates
Maingen Platform is intended for adults using it for business purposes. We do not knowingly collect personal information from children under 13. Contact us if you believe a child has provided personal information.
We will update the effective date when this policy changes. For material changes, we will provide additional notice when required, such as a notice in the service or an email.
